The Pilot: Aims

Early in 2025 we secured the NSW Government's support to build a digital agent contract management solution for education providers. We reasoned that tighter ESOS compliance standards were coming to a sector in which billions of dollars a year is traded without digitised, readily-auditable terms.

Specifically, our belief was: providers need digital repositories of contracts & incentives if they are to be properly optimised.

December's Integrity & Other Measures Amendment announcement creates significant work for any provider still reliant on manual, offline processes.

It is unlikely a manual approach can ever deliver fully compliant ops. Sub-agent networks are too extensive and prevalent today.

Our innovative digital product is largely built, and Phase 1 will deploy for providers in January 2026. This will include digital contract signing, custom approver routing, auditable activity logs, and bespoke data integrations.

We offer secure, GDPR-compliant terms storage with AI-supported extraction and visualisation, plus automated reminder & renewal management.

We now aim to deliver the following example capabilities and benefits, working closely with our pilot partners to shape each outcome to real-world needs:

  • Sub-Agent tracking and control, by markets and by individual agency
  • Incentives/bonus tracking & reporting
  • Senior management visibility of all agent-related commercial arrangements & actions
  • Bulk addenda issue
  • Single-click audit trail reporting
  • Training materials issue & audit of completion

The Pilot Process

1

Scoping Chat (30 mins)

We'll demo our progress to date, share our roadmap, and discuss your institution's agent recruitment position as it is now (e.g. partner numbers and spread, contracting & commission processes). At the end of 30 minutes we will each know if our orgs are a good fit for the other and for this pilot, as well as understand the target KPIs.

2

Kick-off (January '26)

For providers entered into the Pilot we'll onboard your user(s) remotely from mid-January onwards. This process takes just 45 minutes, and should involve two provider staff members (a lead and a secondary). We'll agree a check-in and feedback schedule, and will set a date for an in-person visit during month one of use.

3

Iterative Development

Lasting 2 to 5 months (time period is dependent on the scope of build for your institution), we'll engage your point-people as [in]frequently as you prefer. We'll share updates asynchronously and will act on feedback and requests in achieving the KPIs agreed during the scoping and kick-off phases.

4

Continuous Assessment

As a user of HE Comply for its initial 12 months, you will be first to benefit from general updates and improvements to the product. These are informed by initial user feedback from pilot partners. Our roadmap will continue to evolve during the pilot, and we'll build to your needs through 2026.

Commitment required

rocket
A willingness to innovate

Our approach will be different from Day 1. Your contracts will be securely stored in the cloud and we will integrate and overlay your other data as desired.

feedback
Provision of regular feedback

We can only build what you need if you feed this back to us. We'll work mostly remotely, but will engage every partner in person at least once.

handshake
A small financial investment

We will spend more on bespoke development than your contribution will cover, but we find that skin-in-game makes for better outcomes.

team
The backing of your leadership

This makes the chance of successful outcomes even greater, and will let us solve for executive leaders' gaps and desires, also.

Glimpse what HE Comply can do

This short clip shows some of what HE Comply is able to do for institutions now, with more function being deployed for testing each week.

The Pilot will build on these capabilities rapidly.
